How to work with a virtual assistant
A simple, step-by-step guide to getting started with a VA – from first conversation to a smooth working rhythm.
Bringing in a virtual assistant is much less daunting than it sounds. You don’t need to hand over everything on day one, and you don’t need complicated systems. Here is how a good working relationship usually comes together.
1. Work out what to hand over
Spend a week noticing the jobs that eat your time or that you keep putting off. Those are your first candidates – usually inbox, diary, invoicing and general admin. You don’t need a perfect list; a rough idea is plenty to start a conversation.
2. Have a free consultation

3. Agree the scope and how you’ll pay
Decide whether pay-as-you-go hours or a monthly package suits you best, and agree what’s included. Everything is confirmed in writing so you always know where you stand – there’s no long tie-in and you can adjust as your needs change.
4. Share access – securely
Your VA will only ever need access to the tools relevant to the work – for example your inbox, calendar or invoicing software. Passwords are stored securely in a password-protected system, and your data is handled in line with a clear privacy policy.
5. Settle into a rhythm
Most clients find a quick weekly check-in and a shared way of passing tasks over (email, a shared document or a message) is all it takes. Early on you might give a little more direction; before long your VA will be anticipating what’s needed.
6. Review and build
After the first few weeks, take stock. What’s working? What else could you let go of? The value of a VA grows as trust builds and you hand over more of the tasks that were holding you back.
